Planning and organizing an event is no small feat. The list of things you need to do gets scary really fast. From party supplies like food and drinks to music and atmosphere elements, and of course you can't forget the activities relevant to the event itself. Besides that there's the often under-appreciated managerial problem of chair placement, spacing and service. But fear not, as you can call for help from a party rental company.
Party rental companies need to know exact details about everything, otherwise they'll just assume you want the standard. If you don't clearly talk about everything that's going to be involved in the event you might wound up unpleasantly surprised when things aren't what you imagined. To make things easier you can do the following:
1. Book your event as early as you can
Most party rental companies have busy seasons; March through June and October through December are incredibly busy. Just so you are sure you get what you need try to book your party or event 2 months in advance.
Furthermore, when you're making reservations for party supplies such as chairs and tables always keep in mind that for the company it's easy to cut back a few items rather than add them. Always ask for a little more than you'll need, you can always reduce the order. Otherwise you might need a few more chairs they simply might not have.
2. Be realistic about what you're getting
Realize that some items will have been in stock for years. Naturally, they won't be perfect, but they'll be clean and in decent shape. To eliminate the risk of getting completely trashed items try to inspect them beforehand. If you can't do that at least ask them what the general state of things is.
But you can always get chair covers and never have to worry about that. Try to gauge how serious and pleasant the company is from the time you're talking on the phone with them. If you feel they're unresponsive or don't care about what you're asking it's time to look for another company.
3. Don't be surprised by the bill
You're paying for specific services, you should know what they are. Usually party rentals will charge a delivery fee and they'll drop off the rental items in a mutually agreed location. They usually let you set them up any way you like.
If you want help setting things up you can ask for that, but it'll be an extra fee. Afterwards they'll probably come pick the items up but you'll have to pack them up yourself, etc. You deserve a perfect event, so don't let asking stop you from getting what you want.
You can also ask about help in other areas. They may even bring a few good offers to the table. Calling on the services of a party rental company can save you a lot of pain. It's unrealistic to organize a large event all by yourself.
